Description: LABTrack Electronic Lab Notebook (ELN) is a type of Laboratory Information Management System (LIMS) that documents laboratory activities. This technology is used to capture information regarding experiments, procedures, references, data, and results, as well as files that are created (such as Excel and instrument results files). This technology acts as a combination of a word processor and relational database that has the rules built-in, which scientists must follow when documenting their work. Additionally, this technology is designed to meet the requirements of Good Laboratory Practice (GLP), Current Good Manufacturing Practice (cGMP), Food and Drug Administration (FDA) - Code of Federal Regulations (CFR) Title 21: Part 11, and in-house required procedures.

Please note that there are three editions of LABTrack ELN: LABTrack Personal Edition, LABTrack Pro Team Edition, and LABTrack Pro Enterprise Edition. This entry covers the LABTrack Pro Team and Pro Enterprise Editions.

This technology operates within the VA`s own server infrastructure (hosted on VA premises). All data is stored in a Microsoft Structured Query Language (SQL) Server database. Data is transferred from the client browser to the server application and stored in the database via ActiveX Data Objects (ADO). All notebook page content, audit trail data, and user information is stored in the database. The database can be encrypted using the encryption technology supported by the version of SQL Server used. Additionally, the vendor also offers hosting on Amazon Web Services (AWS).

The TRM decisions in this entry only apply to technologies and versions owned, operated, managed, patched, and version-controlled by VA. This includes technologies deployed as software installations on VMs within VA-controlled cloud environments (e.g. VA Enterprise Cloud (VAEC)). Technology/Standard Usage Requirements: Users must ensure their use of this technology/standard is consistent with VA policies and standards, including, but not limited to, VA Handbooks 6102 and 6500; VA Directives 6004, 6513, and 6517; and National Institute of Standards and Technology (NIST) standards, including Federal Information Processing Standards (FIPS). Users must ensure sensitive data is properly protected in compliance with all VA regulations. Prior to use of this technology, users should check with their supervisor, Information Security Officer (ISO), Facility Chief Information Officer (CIO), or local Office of Information and Technology (OI&T) representative to ensure that all actions are consistent with current VA policies and procedures prior to implementation.
